About the Role:
The Administrative Assistant 2 is responsible for a variety of office support and/or administrative duties. He/she composes, updates and reviews a variety of standard documents and correspondence, relaying and resolving routine telephone and/or walk-up inquiries, schedules calendar items and meetings, travel arrangements, processes forms, performing data entry, and establishes and maintains personnel records.

What You Will Do:

  • Screens and directs telephone calls and vendors.
  • Makes travel arrangements and prepare expense, business and mileage reports.
  • Database management.
  • Provide general administrative and clerical support including mailing, scanning, faxing and copying to management.
  • Open, sort and distribute incoming correspondence.
  • Responsible for scheduling meetings and maintaining calendars of pertinent personnel.
  • Assists with collecting and maintaining detailed records for contract compliance items such as medical director time sheets and call schedules.
  • Assists with new hire processes.
  • Liaison between the clinic and HR personnel.
  • Ensures employee health records for staff are current and input into HCM system.
  • Provides support for payroll, payables and other paperwork.
  • Purchasing of and receiving office supplies.
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails.
  • Responsible for ordering food, setting up and cleaning up after meetings and events.
  • Maintain compliance with all company policies and procedures.
  • Other duties as assigned.

Education or Equivalency

  • High School diploma or equivalent  

Experience Requirements:

  • 4+ years’ administrative experience.
  • Medical office or customer service experience preferred.

  • Valid Driver’s License
  • Clean Motor Vehicle Record
  • Vehicle Insurance Coverage

o  $25,000 bodily injury per person

o  $50,000 bodily injury per accident

o  $15,000 property damage liability

FTE Status/Scheduled Hours of Work:

  • This is a full-time position, Monday through Friday. Occasional evening and weekend work may be required and/or hours may be shortened as job duties demand.

 Environmental Working Conditions

  • Normal office environment.
  • The noise level of the work environment is usually low to moderate.
