The Anesthesiology Scheduler/Administrative Assistant primary responsibility is for coordinating the daily and monthly clinical schedules of the anesthesiology providers to ensure adequate anesthesia department coverage. This position requires composition of regular communications via email and other communication pathways, use of scheduling software system, provide updates and review schedules and a variety of standard documents and correspondence, relaying and resolving routine and/or urgent scheduling needs; schedule calendar items and meetings, and assist in supporting general administrative needs of the department.
Essential Duties/Responsibilities:
- Ensure anesthesia department schedules are prepared and published timely.
- Establish relationship & work collaboratively with providers to obtain availability and scheduling preferences.
- Manage & maintain monthly anesthesia schedules.
- Work closely with schedule managers to staff according to the approved anesthesia staffing model.
- Manage call outs and secure emergency coverage as needed.
- Communicate staffing changes/updates to stakeholders.
- Seeks creative solutions to scheduling problems, both independently and collaboratively.
- Maintain and update the anesthesia scheduling platform.
- Provide scheduling updates to the anesthesia leadership team.
- Assist with onboarding and onsite training for new providers.
- Provide general administrative and clerical support including emailing, mailing, scanning, faxing and copying as requested.
- Distribute incoming correspondence.
- Responsible for scheduling meetings and maintaining calendars of personnel as assigned/requested.
- Assists with collecting and maintaining detailed records for contract compliance items such as medical director time sheets and call schedules.
- Liaison between anesthesia service locations and internal/external personnel.
- Provides support for payroll, payables and other paperwork.
- Assist with submitting and receiving office supplies, as requested.
- Prepare and modify documents including correspondence, reports, drafts, memos and emails.
- Responsible for ordering food, setting up and cleaning up after meetings and events.
- Maintain compliance with all company policies and procedures.
- Other duties as assigned.
Required Knowledge/Skills/Abilities:
- Ability to interact with providers with courtesy and respect
- Ability to work under pressure, assess, respond and communicate issues in a timely manner
- Ability to prioritize scheduling needs
- Display a professional outgoing and helpful attitude
- Strong computer skills particularly in Microsoft Office, and Qgenda a plus
- Excellent written and verbal communication skills.

Education or Equivalency
- High School Diploma or GED required.
- Preferred 2-3 years of healthcare experience and/or scheduling & staffing.
- Staff member must be computer literate and able to operate healthcare system, Microsoft Office, and scheduling software applications.
FTE Status/Scheduled Hours of Work:
This is a full-time position, Monday through Friday. Occasional evening and weekend work may be required.
