About The Role: 

The Scheduling and Administrative Assistant serves as both a coordinator of clinic calls, schedules, and appointments and as the administrative support role to the Human Resources department.

 

Schedule

This is a full-time position, Monday through Friday, 40 hours per week.

What Your Primary Responsibilities Would Be: 

  • Oversees daily front desk/lobby operations, greeting all visitors ensuring they sign in on visitor log and obtain visitor badge.  Maintains package pickup/delivery log.
  • Conference room scheduling and posting of schedules at respective rooms.
  • Answers main line and clinic calls, transferring to departments or clinics as appropriate. Assists with problem and resolution.
  • Clerical duties as assigned including assisting with managing scan/fax queues for clinics and HR department. Scans all employment and patient documents into the appropriate location(s).
  • Assists with scheduling initial and follow up appointments, including healthcare team of appointment changes and cancelation requests. Confirm patient appointments, and follow-up with no-show/canceled appointments.
  • Serve as a liaison for health care team in coordinating and processing medication refills and medical records requests.
  • Registers patients in EMR, including verification of insurance and financial information. Obtains prior authorization for all patient visits, as appropriate
  • Ensures ongoing accuracy of records and patient information in EMR.
  • Manages and monitors Trip Reduction Program (TRP). 
  • Timely processes employment verifications and Unemployment claims.
  • Coordinates orders of HR department office supplies
  • Manages Years of Service award program

 

The Successful Candidate Will Possess: 

  • High school diploma or equivalent required
  • 1+ year customer service experience preferred.
  • Bilingual Spanish/English preferred.
  • 1+ year human resources experience preferred. 
  • 1+ administrative experience in medical office preferred.
  • 1+ year experience with electronic medical/health record preferred
